Zavzu cares greatly about your privacy. Therefore, we only process data that we need for (improving) our services and handle the information that we have collected about you and your use of our services with care. We never make your data available to third parties for commercial purposes.

This privacy policy applies to the use of the website and the services provided there by Zavzu. The effective date for the validity of these conditions is 18/05/2022, and with the publication of a new version, the validity of all previous versions is nullified. This privacy policy describes which data about you are collected by us, what these data are used for, and with whom and under what conditions these data may be shared with third parties. We also explain to you how we store your data and how we protect your data from misuse, and what rights you have regarding the personal data you have provided to us.

About Data Processing

Below you can read how we process your data, where we store (or have them stored), which security techniques we use, and who can access the data.

Webhosting

We utilize web hosting and email services from SiteGround. SiteGround processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of the services, which are not personal data. MijnDomein has taken appropriate technical and organizational measures to prevent loss and unauthorized use of your personal data. MijnDomein is obligated to confidentiality under the agreement.

Reviews

We collect reviews through the Trustpilot platform. If you leave a review via Trustpilot, you are required to provide your name and email address. Trustpilot shares this information with us, so we can link the review to your order. Trustpilot also publishes your name on their website. In some cases, Trustpilot may contact you to provide an explanation of your review. If we invite you to leave a review, we share your name and email address with Trustpilot. They use this data solely for the purpose of inviting you to leave a review. Trustpilot has taken appropriate technical and organizational measures to protect your personal data. Trustpilot reserves the right to engage third parties for the provision of services, for which we have given Trustpilot permission. All the safeguards mentioned above regarding the protection of your personal data also apply to the parts of the service for which Trustpilot engages third parties.

Purpose of Data Processing

General Purpose of the Processing

We use your data solely for the purpose of our service delivery. This means that the purpose of processing is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share data with us and we use these data to contact you at a later time – other than at your request – we will ask for your explicit permission. Your data is not shared with third parties, other than to comply with accounting and other administrative obligations. These third parties are all bound to confidentiality based on the agreement between them and us or an oath or legal obligation.

Automatically Collected Data

Data that are automatically collected by our website are processed with the purpose of further improving our services. These data (for example, your IP address, web browser, and operating system) are not personal data.

Cooperation with Fiscal and Criminal Investigations

In certain cases, Zavzu may be legally obliged to share your data in connection with government fiscal or criminal investigations. In such a situation, we are forced to share your data, but we will resist this within the possibilities that the law offers us.

Retention Periods

We retain your data for as long as you remain a client of ours. This means that we keep your client profile until you indicate that you no longer wish to use our services. If you communicate this to us, we will also interpret this as a request to be forgotten. Due to applicable administrative obligations, we must keep invoices containing your (personal) data; hence, we will retain these data for the duration of the applicable term. However, employees will no longer have access to your client profile and documents that we have produced following your order.

Your Rights

Under the applicable Dutch and European legislation, as a data subject, you have certain rights regarding the personal data processed by us or on our behalf. We explain below what these rights are and how you can invoke them. To prevent misuse, we generally send copies and duplicates of your data only to your email address already known to us. If you wish to receive the data at a different email address or, for example, by post, we will ask you to provide identification. We maintain a record of processed requests, and in the case of a forget request, we record anonymized data. All copies and duplicates of data are provided in the machine-readable data format that we use within our systems. You always have the right to file a complaint with the Autoriteit Persoonsgegevens (Dutch Data Protection Authority) if you suspect that we are using your personal data improperly.

Right of access

You always have the right to inspect the data that we (or others on our behalf) process, which relates to you personally or can be traced back to you. You can make a request to this effect to our privacy contact person. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data, along with an overview of the processors who have this data, to the email address we have on file, indicating the category under which we have stored this data.

Right to Rectification

You always have the right to modify the data we process (or have processed) that relate to your person or can be traced back to you. You can submit a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send a confirmation to your known email address stating that the data have been modified.

Right to Restriction of Processing

You always have the right to limit the processing of data we process (or have processed) that relate to your person or can be traced back to you. You can submit a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send a confirmation to your known email address stating that the data will not be processed any longer until you lift the restriction.

Right to Data

You always have the right to have the data we process (or have processed) that relate to your person or can be traced back to you, executed by another party. You can submit a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or duplicates of all data about you that we have processed, or that have been processed on our behalf by other processors or third parties, to your known email address. In such a case, it is likely that we can no longer continue our service provision, as the secure linking of data files can no longer be guaranteed.

Right to Object and Other Rights

You have the right, in certain cases, to object to the processing of your personal data by or on behalf of Zavzu. If you object, we will immediately cease processing your data pending the resolution of your objection. If your objection is justified, we will provide you with copies or duplicates of the data we process (or have processed) and then permanently cease processing. Additionally, you have the right not to be subject to automated individual decision-making or profiling. We do not process your data in a way that would make this right applicable.
